Gourmet Food Parlour is seeking a highly organized and detail-oriented individual to join our team as a Procurement Specialist. The Procurement Specialist will play a crucial role in supporting our finance department by efficiently managing purchasing activities and maintaining vendor relationships as well as assisting in the management of other accounts activities. The ideal candidate will have excellent communication skills, strong analytical abilities, and a solid understanding of procurement processes.
Responsibilities:
- Purchase Order Management: Process supplier invoices and bank payments, and reconciliation of supplier statements through the online Procure wizard system.
- Liaise with suppliers via telephone or email in a professional and efficient manner
- Establish and maintain positive relationships with vendors, negotiating terms and conditions to optimize pricing and services.
- Maintain vendor database, including contact information, pricing agreements, and contract details.
- Work closely with the finance team to track procurement costs and maintain accurate records.
- Collect, analyze, and interpret data related to procurement activities, vendor performance, and cost-saving initiatives.
- Prepare regular reports and presentations summarizing procurement metrics, trends, and key performance indicators.
- Manage administration for the procurement department.
- Identify opportunities for process improvement, cost reduction, and operational efficiency enhancements.
- Ensure compliance with company policies, procedures, and relevant regulations during the procurement process.
- Maintain accurate procurement records, including purchase orders, invoices, contracts, and other related documentation.
- Assisting the finance team with the production of the monthly management accounts
- Other ad-hoc duties as they arise
Requirements:
- 3 years + experience in business administration, supply chain management, or a related field (or equivalent work experience).
- Proven experience in procurement, purchasing, or supply chain management.
- Strong knowledge of procurement processes, vendor management, and inventory control.
- Excellent organizational and time management skills with the ability to prioritize tasks and meet deadlines.
- Proficient in using procurement software and tools.
- Advanced proficiency in MS Excel or other spreadsheet software for data analysis and reporting.
- Knowledge of procure wizard and access group is extremely beneficial
- Strong analytical and problem-solving abilities.
- Excellent communication and negotiation skills.
- Attention to detail and high level of accuracy.
- Ability to work independently as well as collaboratively within a team environment.
